Hand out your join code

Every team has a join code: eight characters an athlete types into the phone app to ask to join. Read it out at training and you do not have to type anybody’s email address.

The code opens a request. It never adds anyone on its own, so you always decide.

Find your code

Open Team in the sidebar.
Select the cog in the top right.
The code is on the team settings page.

Only the Head Coach can open team settings, because only that role changes the team.

The code avoids the characters people confuse. There is no O and no zero, no I, no one and no L. Capitals and the hyphen are there to make it readable; the app accepts it typed either way.

Answer a request

Someone who used your code appears on the roster with the status Wants to join. The Team item in the sidebar carries a count while any request is waiting.

Open Team.
Find the row.
Choose Add to the team, or Refuse.

Adding them makes them an Athlete on your team and tells them so. Nobody arrives as a coach this way. A shared code should not be able to create someone who can invite other people, so the code only ever produces athletes. Invite an assistant coach by email instead.

When we email you

You get one email for the first request waiting on you, and nothing more until you have cleared the list. Read your code out to a group of fifteen and that is one email, not fifteen.

Rotate the code

Rotating replaces the code with a new one. The old one stops working straight away, so rotate at the end of a season, or if the code reaches people you did not mean to reach.

Open team settings.
Select Rotate.

Requests already waiting are unaffected. They were made by people you can still see, and you answer them as usual.

Refusing is quiet

A refused person is not told to try again, and using the same code once more changes nothing. Their app keeps saying they are waiting on you.

That is deliberate. It means nobody can use the code to work out who you have turned away, and nobody can knock on your door every morning.

If you refused someone by mistake, invite them by email. That path is yours and it always works.
